Maximum
Occupancy
All Villas accommodate a maximum number of guests, which is
stated in our descriptions, and must be adhered to unless
otherwise agreed to prior to receipt of full and final
payment. Reservations shall be for a specific number of
guests, which may not be exceeded, unless has been
authorized by
Bali Exotica Holidays.
Seasons
Bali Exotica Holidays categorizes the year into three (3)
seasons. While some villas utilize the three (3) season
structure for pricing; currently most villas have a HIGH
season price that encompasses peak and high season, and then
a LOW season price. Bali Exotica Holidays defines seasons as
follow:
Low season:
January 9th to July 14th (excluding Easter), September 16th
to December 19th
High season:
July 15th to July 31st, September 1st to September 15th,
March 25th to April 1st, 2004 (Easter week)
Peak season:
August 1st to August 31st, December 20th to January 8th
(Xmas & New Year period)
Note: some of the villas have their own season periods,
please check it carefully.
Flight Information
Guest/s name/s should be submitted to the Bali Exotica
Holidays reservations office prior to final payment along
with flight information for both arrivals and departures
with respect to airport transfers.
Rates
All Rates are quoted in United States Dollars and subject to
changes without prior notice.
What’s Included?
The properties are fully equipped with bed linens, towels,
cooking utensil etc. Item such as toilet paper, soap and
drinking water are supplied at the villa - just the same
amenities when staying in a hotel. Items such as toilet
paper, soap & drinking water are supplied at the start of
the rental, and in most cases, as such items need replacing
the cost shall be borne by the tenant/s.
Tax and
Service
There are currently NO taxes, hidden cost, staff salaries,
service fees or management fees. All are fully inclusive in
the rent. Gratuities for house hold staff shall be left to
guest’s discretion.
Minimum Stay
It also varies. The outline: low season = 2 nights, high = 5
nights and peak = 10 nights.
Travel
Insurance
With potential medical, liability, cancellation risks
involved in holidays, travel insurance is important, as
deposits and rental payments are not refundable after a
reservation has been confirmed. We highly recommend to buy
an all-inclusive travel insurance package which covers all
your expenses if you need to cancel your holiday due to
personal reasons or a world event.
Check-out
Time
At some Villa Check-out time is 12 noon and Check-in after
the 14:00 hours
Payments
A deposit of 50% of the rental amount must be received by
Bali Exotica Holidays within Seven (7) working days after
the relevant invoice and payment instructions have been
given to the hirer. If a deposit is not received within this
time, the booking will be cancelled.
Final payment is required
45 days prior to arrival (60 days for Christmas/New Year
bookings) or immediately if booking is made less than 45
days prior to arrival (or 60 days in the case of
Christmas/New Years bookings).
In the case of bookings
made 45 days prior to arrival, full payment is required
within two (2) working days, or on arrival, if less than two
(2) working days, whichever comes first.
All payments must be made
in USD. Payments options are:
1. Telex Transfer – All charges incurred for Telex Transfer
transactions will be borne by the hirer.
2. Credit Card – All payments made by credit card (Visa and
MasterCard only) will be subject to a 3.5% additional
charge.
Payments by Traveller’s
Cheques, other currencies or personal cheques, will not be
accepted. In the case of last minute bookings, where is it
impractical or very difficult for the hirer to make a
deposit by TT, we will accept cash (post 2003 and unmarked USD banknotes) on arrival. However, a credit card
authorization form will need to be used to ensure deposit
requirements are met. This form
will need to be accompanied by photocopies of both sides of
the credit card, a photocopy of holder’s passport, and
written authorization. The funds will be held as security
and that the transaction will be reversed only upon receipt
of alternative payment as agreed with Bali Exotica Holidays.
All clients will be asked to sign a Waiver of Liability and
a credit card authorization form, which will allow us to
charge the card any charges that clients incur while at the
villa.
Be aware that security deposits are required for some
villas. If required, a deposit will be requested by villa
owner or Bali Exotica Holidays on arrival and will be
refunded in full on the day of departure, unless
damages/repairs need to be performed, in which case refunds
will be made, less the cost of damages.
Cancellations
All deposit payments are non-refundable.
Balance of Payment which
has been paid will be refunded less one night at confirmed
rate if guests cancel the reservation at least 14 nights
prior to the arrival. If the cancellation is done less than
14 nights prior to the arrival date, means we already paid
full payment to the villa, we will only do our best to
negotiate with the owner of any villa to get the refund.
Cost of refunding shall be borne to guests’ own account.
We must receive notice of
cancellation in writing.
Bali Exotica Holidays is
not responsible if guests cancel their reservation upon
arrival or just refuse to stay at the confirmed and fully
paid villa with any reason. We are pleased to assist to find
other accommodation, but all cost is at guests’ own account.
If guests have to delay
their holiday for any reason but will definitely come to the
same villa at the same season based on the availability, we
will keep all payment. But if they wish to change the villa,
all deposit payment is non refundable, and Bali Exotica
Holidays will keep the balance of payment only for the new
confirmed villa.
Bali Exotica Holidays is
not responsible if guests shorten their holiday period with
any reason upon arrival or within the holiday period and
will not refund the rest of the payment.
Changes to bookings
A US$50.00 administration fee will apply to each change
after a booking has been confirmed. Changes cannot
necessarily be accommodated in all cases.
Provisions and Staff
All villas we represent have a minimum of two domestic
household staff. All our properties are fully equipped with
bed linens, towels, cooking utensils etc.
Even and parties
Normal bookings are for vacation purposes and special
permissions must be obtained for functions where the number
of people in attendance exceeds 150% of the capacity of the
villa. Also clients should be aware that these are private
villas located in residential neighborhoods and, as such,
not
all functions or events can necessarily be accommodated.
Much depends on the vagaries of the neighborhood's
residents. If you are planning to hold an event such as a
wedding or any large congregation of people at your villa it
would be best to bring this to Bali Exotica Holidays’
attention as soon as possible.
Please be aware that normally Bali Exotica Holidays will not
accept a booking involving a function without prior
confirmation that a function coordinator has been employed.
Bali Exotica Holidays can recommend a suitable coordinator
where required. Bali Exotica Holidays has rules governing
villa usage for events and parties and a surcharge of up to
the equivalent of a night’s rental price is applicable, in
addition to a local community (‘Banjar’) fee.
Damage and looses
The hirer is responsible for leaving the property in good
order and in a clean condition. The hirer further undertakes
to pay for any damages or losses incurred during occupation.
Bali Exotica Holidays reserves the right to repossess the
property if the hirer or a member of the party has caused
excessive damage.
Numbers in party /
suitability
The numbers of persons occupying a property must not exceed
the maximum number stated in the booking confirmation. Bali
Exotica Holidays reserves the right to refuse any booking,
which, in its opinion, is unsuitable for the property
concerned.
Liability
Bali Exotica Holidays will not accept responsibility for any
injury, sickness, loss, damage, additional expense or
inconvenience, directly or indirectly caused by or arising
out of the use of the property, plumbing, gas, electrical or
otherwise, and exceptional weather conditions. Further, no
responsibility is accepted for the personal belongings, car,
and its contents of the hirer or any member of the party
during the holiday.
Complaints
If the hirer considers that he/she has cause for complaint
concerning a property, the matter should be taken up with
the Villa Manager who in turn will notify Bali Exotica
Holidays. In such cases, if Bali Exotica Holidays considers
the complaint valid, a partial refund may be offered. This
will have to be discussed and approved by the relevant villa
owner and may take several weeks to finalize. No liability
shall arise beyond the refund of the monies paid. Bali
Exotica Holidays will not entertain claims lodged by the
hirer upon departure or after return home when it is no
longer possible to investigate the complaint effectively.
